Chapter One

AIM AND OBJECTIVE

The aim of this project on electronic scoring and screening system is to build a system that will be effective and dependable to solve problem of manual scoring and screening system.

The objectives of this project are as follows:

  1. To allow easy retrieval and indexing of data about any student without wasting time.
  2. To process large volume of data:- a lot of task can be done by using computer to process large volume of data in an hour which can done manually by five personnel for days.
  3. To minimize the number of staff:- the total number of personnel required in admission department is reduced since computer will take their duties.
  4. Omissions and errors of scores calculation are reduced since computer is going to handle the calculation.
  5. To conveniently store large data: – Records for candidates register are kept in electronic form. i.e. in the computer instead of making use of big file and paper which occupy a lot of spaces.

CHAPTER TWO

LITERATURE REVIEW

 INTRODUCTION

          Research has been undertaken by some faculty at Osun State Polytechnic, Iree regarding the evaluation of the different aspects of screening and scoring process. It has included the evaluation of the students, the teachers, the academic programs, and the advising system. This project is another attempt in this direction. It presents an important aspect of any Polytechnic’s working.

THE ADMISSION OFFICE

In Osun state polytechnic, Iree and many other higher institutions, the bodies responsible for admitting students is any higher institutions is the “Admission office” The admission office is sub unit of academic affairs department of osun state polytechnic tree. This department is directly responsible for admission of students into various courses in the institution There are various categories of this department {i.e Admission office) in which each of them has a specific tasks to perform in the admission process of Osun State polytechnic.

The deputy registrar of academics headed the academic affairs department is directly responsible for the admission of students into various
cover in the institution. The admission office (A0) is followed in power to the Deputy registrar of academics next to him are other two officers, higher executive officer (HEO) and the principle secretary Il (PS) under (HEO) are two executive officers 1 and 2. Also, under the principle secretary we have senior typist and followed by messenger/cleaner.

FUNCTIONS OF ADMISSION UNIT

The duties of admission office of the polytechnic, iree is very complex, because they are the one that would determine the future of the admission, the office is performing the following duties;

  1. Admission office advertising the selling of prelim forms through media radio, television and newspaper.
  2. Selling of forms to the preliminary applicants
  3. Collection of the forms solds from the applicants.
  4. Arrangement of the applicants’ names after scoring in the department and compiling it for the public by PRO (Public Relation Officer) Osun State Polytechnic, Iree
  5. They are responsible for screening of student to determine whether qualified or not.
  6. The medical forms, state identification and admission oath is qualified students.
  7. The registration of student starts from admission office
  8. They are responsible to give criteria for admission of the institution for the JAMB to print it in the JAMB brochure.
  9. They send the list for direct candidate to the JAMB for issuing of admission letters.
  10. Lastly, admission unit select the good input to yield best output.

 

 

CHAPTER THREE

  SYSTEM INVESTIGATION AND ANALYSIS

The system investigation of the shortcomings in the presently used system of screening and scoring in Osun State Polytechnic, Iree is based on interviews of the staff and students in the admission department of the institution. During the interviews it was found that there are a lot of faults in the existing system used for scores preparation and screening process. The system was very slow, inaccurate and unreliable etc. it was established that students make complaints about wrong compilation of result due to wrong data entry and miscalculation on the parts of the screening officers. It was not so easy to handle many documents used in scores preparation of different candidates to be admitted; it was discovered that calculation of scores and recording vital information of students were made on closed sheets which can be easily misplaced.

In additional, further research reveals that there is a narrow way of cross checking the scores calculated and points earned by each candidate except these deeds. The outcome of system shows that the system is cumbersome, time wasting, tedious an inefficient.

CHAPTER FOUR 

SYSTEM DESIGN AND ANALYSIS

SYSTEM DESIGN

After the system investigation and analysis stage the next stage is now concern with the way and the process by which the new system will be designed so as to perform the expected of it successfully when designing a new system the input design is first reaction wuh before the input. At system design stage the input and output files will be developed as well as database files that will support the proper functioning of the system.

CHAPTER FIVE

 SUMMARY, CONCLUSION AND RECOMMENDATION

SUMMARY

This project can simply be summarized under the achievement, the problem encountered and limitation of study. The achievement of this project is the successful development of various parameters, that is, student file, screening catalogue and Admission report, that are electronically used in processing of scores and screening systems.

A lot of problems were encountered in the cause of developing the modules initially; there was problem of conversion and interpretation of tool used in the model. Also, at program coding stage especially on graphical representation of different categories it was not so easy. In the same vein, problem of power failure also occurred and lastly to get data, i.e., to get test data from the resources person was not easy. The entire problems were promptly solved.

The limitations of this project are that it cannot be used for other thing except what is designed for, It is mainly for computation of screening and scoring for admission process,

 CONCLUSION

In solving the problem of scoring and screening electronically brings about distinct benefits of objectives of this project so far computer is used, a large volume of data can be processed quickly and accurately. Student record can be  stored and indebted easily without wasting time. The efficiency of scores calculation and issuance has improved because computer has taken care of them.

  RECOMMENDATION

For the fact that this project is a new one which contains new concept to be studied, and improved upon, I hereby recommend that all interested individual should be properly trained to make the new system a success before using it.

However, for numerous advantages of this new system, I recommend it for use in every institution either federal or state level.
